Accounting Specialist

Position Title: Accounting Specialist 

FLSA Status:  Full Time – Exempt

Hiring Range: Competitive- DOE 

Location: Tucson, AZ 

POSITION SUMMARY:  The Accounting Specialist is responsible for maintaining Accounts Receivable, Accounts Payable, and all duties & controls associated with those processes.  Maintains purchase orders, administers budget processess, and administers corporate credit card program.

ESSENTIAL FUNCTIONS:

  • Account Receivable – generate monthly invoices/statements and posting; responsible to communicate with customers, internal departments, and others regarding account status and contracted escalations; Reconciles AR to the general ledger; reviews/researches anomolies, presents EOM reports that balance; responsible for all controls related to the AR function.
  • Daily Cash posting and balancing in the Accounting System, to include, reconciliation to Daily Cash Report at end of month. Entry reconciliation and research to match Salesforce and Daily Cash Reports.
  • Maintains monthly AZ Use Tax reporting functions.
  • Administers the corporate credit card program and credit card expense management; responsible for setting up new cards, train and assist staff in use of expense management program.
  • Accounts Payable – shared responsibility to process invoices, purchase orders, corporate purchase cards, and all reimbursement requests in a timely and accurate manner; provide resolution of invoice and expense report discrepencies; shared responsibility for all controls related to the AP function.
  • Shared responsible as assigned for budget input, tracking, and related reports, using budgeting software program.
  • Works closely with Accountant 1 & Accounting Manager in daily accounting operations.
  • Weekly reporting and updating of fixed assets.
  • 1099 reporting year end processing
  • Assists with internal and external audit processes.
  • Assists with annual Personal Property Reporting and period closing activities, as needed.
  • Performs other duties as assigned.

NON-ESSENTIAL FUNCTIONS: 

  • Maintain Notary function for Finance Dept
  • Makes recommendations for streamlining and improving processes.
  • Stay up to date on system updates and procedures.
  • Maintains copier codes.
  • Scans vendor invoices and statements.
  • Participates in Sharathon as needed.

MINIMUM QUALIFICATION REQUIREMENTS:

EDUCATION AND/OR EXPERIENCE:

  • Associate Degree in Accounting or related field; or equivalent education & experience
  • Three (3) years experience in accounting functions including accounts payable and accounts receivable
  • Experience overseeing and administering the budgeting and credit card process for an organization

KNOWLEDGE, SKILLS & ABILITIES: 

  • Strong working knowledge of general accounting principles and accounting software including knowledge of AZ Sales & Use Tax Reporting.
  • Strong PC skills including proficiency with Microsoft Office including intermediate knowledge of Excel
  • Strong organizational, interpersonal and decision-making skills
  • Strong written and verbal communication skills including ability to write, edit and proof business documents.
  • Ability to interact in a professional manner with Executive Leadership, staff, vendors and other external customers.
  • Ability to handle confidential information discreetly and professionally Analytical and detail oriented with high level of accuracy
  • Posesses initiative and willigness to learn new skills and cross train in other accounting functions

PREFERRED QUALIFICATIONS

EDUCATION AND/OR EXPERIENCE:

  • AS in accounting or related field
  • Knowledge of Sage Intacct accounting software
  • Experience working in a non-profit
